Job Description
CLEAR Corporate is looking for the best Service Administrator to join CLEAR and work with our Australia-based client. Our client has multiple offices in Oceania South East and Northern Asia. They provide engineering services such as, commercial air conditioning (HVAC), life safety (fire), power systems (generation and uninterruptible power supplies), intelligent building solutions (automation), project management and more.
Role
Your role is to manage, coordinate tasks, and monitor work-in-progress to ensure that deliverables are met and priorities are managed.
General Functions
- Will run the virtual reception to handle calls and emails as a service administrator
- Handles all admin tasks
- Contribute to team effort by accomplishing related tasks as needed
Daily Responsibilities
- Managing & coordinating of daily service calls, maintenance & project works
- Managing service contracts
- Allocate job schedules to technicians on a daily basis
- Liaising with suppliers to ensure accurate parts orders and delivery of goods
- Managing & coordinating of subcontractors to ensure jobs are attended and completed in a timely manner
- Preparation and submission of quotes
- Monthly reporting and attendance to client meetings
- Managing and ensuring asset registers are accurate and up to date
- Booking of flights, rental vehicles & accommodation for field staff and subcontractors
- Assist other Administration staff when required
- Perform other administrative duties as may be required by the client
Minimum Qualifications
- Proficient with MS Office applications (MS Excel, Word and Outlook)
- Can start immediately is a plus
Be advised that this post will initially be on a Work from Home (WFH) set-up until further notice to physically report in the office .
Minimum IT requirement for the WFH set up :
Operating System: Windows 10 Pro
RAM: 4GB (For 64-bit)
Hard Disk: 500GB
WebCam: Anything that supports at least 720p resolution
Audio: Headset with mic (better with noise-canceling features)
Internet Speed: at least 10 Mbps
