As a Bookkeeper, your daily tasks may include:

	<li>Record financial transactions and complete the posting process to Xero and other cloud-based systems, including but not limited to
	<ul style="list-style-type: circle;">
		<li>Entering approved Direct Costs and Commitments into the system for reconciliation in Xero</li>
		<li>Entering non-job-related invoices/bills (utilities, staff amenities, Director’s expenses) into Xero for account reconciliation</li>
	</ul>
	</li>
	<li>Reconcile bank and credit card transactions, general ledger accounts, superannuation, payroll accounts, and other key accounts to be determined</li>
	<li>Review account codes and re-coding of transactions</li>
	<li>Manage accounts payable and accounts receivable

		<li>Process purchase and sales invoices</li>
		<li>Verify that invoices and transactions comply with the approved Purchase Orders</li>
		<li>Encode and post journal entries for accounts payable and accounts receivable</li>
		<li>Process authorized payment to the supplier’s invoices in an accurate and timely manner</li>
		<li>Maintain and update client and supplier databases</li>

	<li>Once approved, process expense claims and reimbursements through a cloud-based system like Xero, as applicable</li>
	<li>Contact the team immediately to chase for missing receipts/invoices</li>
	<li>Submit weekly reports on any outstanding items or queries</li>

	<li>Maintain and update company records</li>
	<li>Submit timely administrative and financial reports, and prepare presentations/proposals as assigned</li>

	<li>Provide clerical and administrative support to the bookkeeper and management</li>

We’re looking for an Accounting &amp; Operations Specialist to join our client’s team and own the day-to-day accounting and financial operations of their business.

You’ll help keep the books accurate, current, and ready for month-end close. You’ll own everything from accounts payable and employee expenses to transaction coding, reconciliations, and first-pass financial reporting.

 

Key Responsibilities

Accounts Payable / Bill Pay

<ul>
	<li>Process and route vendor bills through our AP platform (such as Ramp or Bill) for approval and payment.</li>
	<li>Ensure bills are coded accurately to the correct entity, class, and GL account.</li>
	<li>Track payment timing and follow up on outstanding approvals or payments.</li>
	<li>Respond to and resolve routine vendor payment inquiries.</li>
	<li>Maintain clean, complete, and organized AP records.</li>
	<li>Identify and flag discrepancies, duplicate invoices, unusual vendor activity, and other potential issues.</li>
</ul>

Employee Expense Management

<ul>
	<li>Own the employee expense reporting process end-to-end.</li>
	<li>Review submitted expenses for policy compliance, appropriate coding, and completeness.</li>
	<li>Chase down missing receipts, memos, and supporting documentation.</li>
	<li>Proactively follow up with employees on outstanding items — polite persistence is an important part of this role.</li>
	<li>Ensure employee expenses are properly categorized and recorded.</li>
	<li>Help maintain and improve our expense policies and documentation.</li>
	<li>Identify recurring expense issues and recommend process improvements.</li>

Transaction Classification &amp; Bookkeeping

<ul>
	<li>Classify and code AP, employee expenses, credit card transactions, and other financial activity in our accounting system, such as QuickBooks Online.</li>
	<li>Apply the appropriate entity, class, and GL account based on each entity's chart of accounts.</li>
	<li>Review transactions for accuracy and consistency.</li>
	<li>Identify and correct miscoded, duplicate, unusual, or incomplete transactions.</li>
	<li>Keep transactions current so there is minimal cleanup required during month-end close.</li>
	<li>Maintain clean separation of accounting activity across multiple entities.</li>
</ul>

Month-End Close &amp; Financial Reporting

<ul>
	<li>Own the first-pass month-end close for assigned entities.</li>
	<li>Reconcile bank accounts and credit card accounts.</li>
	<li>Review transaction coding and ensure accounts are properly categorized before close.</li>
	<li>Investigate discrepancies and resolve outstanding items.</li>
	<li>Prepare monthly P&amp;L and balance sheet reports for internal review.</li>
	<li>Maintain supporting documentation for reconciliations and other close activities.</li>
	<li>Keep leadership informed of outstanding accounting issues and the overall state of the books.</li>
	<li>Serve as the day-to-day point of contact for questions about financial activity and bookkeeping status.</li>

The client and the role

You will work for one Australian client, a managed service provider and ICT consultancy in Perth. You will run their accounts, working alongside their team and their engineers, with Clear behind you. You are not joining a finance team. Payroll stays with the client. Everything else on this page is yours.

What you will own

Recurring managed service billing

<ul>
	<li>Reconcile a month of onboarding and offboarding notices from the engineers against each customer's recurring sales order, adjust the seats and licences, then raise the invoices. Customer seat counts run from five to a hundred.</li>
	<li>Keep the recurring templates accurate month to month, so the next month carries forward correctly. That only happens if the process is followed every time. It will be yours to follow.</li>
</ul>

Professional services billing

<ul>
	<li>Pull the engineers' logged time out of the client's CRM each month, take it into Excel and break it up by customer.</li>
	<li>Find time that has been billed twice, take it out, then go back to the engineer on anything that should be written off or given away.</li>
	<li>Invoice mid month for the month past. This is the part of the job that carries the most judgement.</li>
</ul>

Collections

<ul>
	<li>Work the aged receivables ledger by telephone. You will follow up outstanding accounts by phone and email, establish clear payment commitments, and maintain accurate collection records..</li>
	<li>Get the customer to name a date they will pay by, then be back on the phone the day before that date.</li>
	<li>Report on the ledger every month and escalate on time.</li>
</ul>

Purchase orders and accounts payable

<ul>
	<li>Raise purchase orders for hardware, software licences and office supplies when the engineers need them.</li>
	<li>Process supplier invoices from hardware distributors, software vendors and cloud licence providers, then verify each one against its purchase order.</li>
	<li>Reconcile supplier statements, resolve discrepancies and answer supplier queries.</li>
</ul>

The books

<ul>
	<li>Record and reconcile transactions in MYOB, run the bank and account reconciliations and code expenses.</li>
	<li>Investigate unreconciled transactions rather than park them.</li>
	<li>Close the month cleanly and keep the records straight enough that somebody else could pick them up.</li>
</ul>

Two billing cycles run side by side. The recurring managed service invoices go out at the start of the month for the month ahead, with payment due by the end of it. The professional services invoices go out mid month for the month past, on shorter terms. You will carry both.
