Job Description

Under the supervision of the Head of the International Mobility Section, the Mobility Assistant is responsible for assisting in the planning, coordination, and administration of international mobility programs, ensuring the seamless exchange of students, faculty, and staff with partner institutions worldwide. The International Mobility Assistant will be a key point of contact for international participants and will help create an inclusive and enriching experience for all involved.

Main Duties and Responsibilities

Program Coordination:

  • Assist in the planning and coordination of inbound and outbound student exchange programs, faculty exchanges, and international staff mobility initiatives.
  • Collaborate with academic departments to ensure various mobility requirements are processed in a timely manner.
  • Assist in the maintenance of accurate records of program participants, applications, and related documentation.

Student and Participant Support

  • Serve as a point of contact for international students, faculty, and staff participating in mobility programs, providing pre-arrival and on-site support.
  • Assist with visa applications, housing arrangements, and orientation programs for incoming international students.
  • Facilitate cross-cultural awareness and intercultural communication workshops.

Marketing and Outreach

  • Promote international mobility programs to prospective participants and raise awareness among the university community.
  • Collaborate with the University's and the Office’s marketing and communications team to create promotional materials and maintain program-related web content.

Administrative Tasks

  • Prepare and manage budgets for mobility programs and ensure compliance with financial guidelines.
  • Coordinate logistics for international mobility events, such as orientations, cultural excursions, and farewell ceremonies.
  • Assist in the development and implementation of policies and procedures related to international mobility programs.

Perform other university- related duties as may be required by the AVP-UPI.

Minimum Qualifications

Education and Experience Requirements:

  • Bachelor's degree in any field; specialization in International Relations, Cultural Studies, Event Management, a bonus.
  • Demonstrated experience in event or project planning and execution.
  • Strong cross-cultural communication and interpersonal skills.
  • Creativity and the ability to design innovative programs and activities.
  • Proficiency in event management software and tools.
  • A commitment to promoting diversity, equity, and inclusion on campus.
