Job Description

The Finance Administrative Assistant is a key support role within the Finance Team at Aboitiz Renewables, Inc. (ARI). Tasked with diverse administrative responsibilities, the position includes managing virtual data rooms, handling documentation requests for Project/Corporate Financing, coordinating both online and face-to-face meetings, routing documents for execution, and overseeing the organization and upkeep of Finance documents in the ARI Vault and Storage space.

  • Handles over-all administrative function of the Finance Team
  • Manage virtual data rooms (VDR) and documentation request during Project/Corporate Financing
  • Liaise with the admin officer in other tasks (bills, etc.)
  • Help schedule online meetings and book meeting rooms (F2F)
  • Assist routing documents for execution (via docusign or physical execution)
  • Manage all hardcopy Finance documents and letters kept in the ARI Vault and Storage space ensuring proper labelling and indexing including maintenance of soft copies/ VDR
  • Orchestrates smooth inflows and outflows of documents for approval, and coordination with all the relevant teams and individuals
  • Coordinate and manage the utility and maintenance assigned to ARI
  • Act as the receptionist of ARI (receiving documents, coordinating mobile plans, etc.)
  • Provide admin system orientation and assistance on the navigation and use of relevant finance systems and processes such as Optikus, Oracle, etc.
  • Coordinate and organize transportation/accommodation for meetings/conferences etc.
  • Liaise with the relevant departments for system-related issues and concern

Minimum Qualifications

  • With at least one (1) year of relevant work experience
  • A graduate of any 4-year course
  • Strong analytical and planning skills
  • Good communication and presentation skills
  • Excellent problem-solving skills
  • Involves the ability to identify and rectify errors, maintain accurate records, and ensure precision in various administrative processes.
  • Demonstrates excellent skill in organizing, maintaining, and safeguarding critical information
  • Adept in managing inquiries and concerns
